General Terms and Conditions
You are registering to participate in the Eislek Gravel Luxembourg, an event organized by LETZ’ XPLORE ASBL, with its registered office at 7, Rue du Moulin L-9650 Esch-Sur-Sûre, hereinafter referred to as “the Organizer”.

This event is organized under the patronage of the Luxembourg Cycling Sport Federation and is part of the UCI Gravel World Series calendar.
Article 1. Registration
The Participant hereby declares to be at least 18 years old at the time of registration or to have the consent of their legal guardian to register for the event.
Registration is valid only if the registration form is duly completed and all information is accurate, the registration fee has been paid in full, full payment of additional fees has been made, and these general terms and conditions have been accepted.
Article 2. Right of Withdrawal
Registration falls under the services referred to in Article VI, 53, 12° C. CDE, which excludes the right of withdrawal.
In case of non-participation, for any reason whatsoever, the registered person is not entitled to a refund of registration fees or additional costs.
Article 3. Storage Area
Participation in an event and entry to the event site are at the Participant’s own risk. For certain events, the Organizer provides a storage area where the Participant can leave personal belongings and their bicycle free of charge and without obligation. The Organizer will take all reasonable security measures to keep the area as safe as possible, but its use is at the Participant’s own risk. The Organizer advises the Participant not to bring or store valuable items. The Organizer is in no way responsible for any damage, loss, or theft of the Participant’s personal belongings or bicycle.
Article 4. Participation
Participation in the event is only possible if registration is valid and full payment has been made.
During participation, proof of registration (bib number, handlebar number, etc.) must always be visible.
The Participant must always show respect for the environment. Waste disposal zones are provided near refreshment areas. Littering is strictly prohibited at all times outside these zones. Any Participant who does not comply with this rule will be immediately excluded from the race.
The Participant must always wear a helmet.
Every Participant must have equipment that complies with regulations (brakes, new tires) before starting, and must provide spare parts (an inner tube is essential), as well as appropriate clothing. A technical assistance service may be provided at the start and along the course. This service cannot be held responsible in case of an incident or fall, whether or not resulting from its intervention. In this regard, equipment and accessories attached to the bicycle must be correctly secured to avoid any risk of falling, breakage, or loss on the road. Any negligence on their part in this area engages the full responsibility of the participant.
In case of infringement, the offending Participant will be solely responsible at their own risk, both criminally and civilly, for accidents for which they are directly or indirectly the perpetrator or victim. The Participant acknowledges that timed or untimed cycling on roads open to traffic or on paths involves risks and requires them to constantly adapt their speed to traffic conditions and the condition of the road and paths. They are fully aware of their vulnerability and accept the risks of skidding, accidents, and especially falls.
The Participant undertakes to respect the highway code and ensures their own safety and that of other participants. The Participant must follow the instructions of the organizers and their volunteers, medical teams, and the police.
The designated marshals have the power to sanction, or even immediately exclude, and remove the frame plate of any Participant who does not comply with the regulations (littering, dangerous riding, non-compliance with the highway code, etc.). Similarly, medical personnel are authorized to suspend and evacuate any Participant taking risks that could harm their health or life.
The Organizer reserves the right to exclude from participation in the event any Participant who does not comply with the provisions of these general terms and conditions or who poses a danger to themselves or to third parties.
Article 5. Categories and Rankings
5.1 General
In case of doubt regarding the rider’s completion of the entire course, the organization may ask the rider to provide the GPS track of their race for verification. If the rider refuses, the most unfavorable sanction for the rider will apply.
Competitors must respect the sportsmanship and fair play of the race. In case of fraud (wrong starting zone, early start, non-compliance with the course, aid or use of vehicles, etc.), inappropriate behavior, or dangerous activity (disrespectful or abusive remarks, incivility, use of doping substances, throwing objects or waste, dangerous driving, traffic code violations, etc.), they will be penalized. Any participant violating the Luxembourg highway code will be systematically excluded from the next race.
5.2 UCI World Championships Qualifying Events
Each UCI World Championships qualifying event will be subject to rankings according to the applicable age categories and will include a podium ceremony.
Elite categories (Men/Women), as well as age categories from 19 to 59 years for men and 19 to 49 years for women, will apply to the 115 km event.
The 70-kilometer event will be reserved for age categories over 60 years for men and over 50 years for women.
Participants who have not started their last lap when the first competitor crosses the finish line will be stopped by the marshals at the line. These participants will be ranked in the “Open” race.
Will be ranked:
- Riders who passed all electronic timing points.
- Riders who completed the entire course.
- Riders finishing the distance for which they registered.
Participants who choose to race a distance not corresponding to their age category will not be ranked in the age groups.
5.3 Open Events
The Open event is open to all, regardless of age category. The event will feature a men’s scratch ranking and a women’s scratch ranking. The podium ceremony will reward the top three in these two respective categories.
Article 6. Qualification via the UCI Gravel World Series
Each UCI Gravel World Series event allows qualification for the UCI Gravel World Championships. The top 25% of athletes in each age group qualify for the UCI Gravel World Championships. This 25% is calculated based on the number of participants at the start in each age group, not the number of riders who crossed the finish line.
Furthermore, the first three riders in each official age group automatically qualify for the World Championships, regardless of the number of participants at the start in that category. Riders must complete the race to qualify. A participant’s age group is determined by their age on December 31 of the current year.
Men’s categories 19-59 years and women’s categories 19-49 years can only qualify by participating in the long-distance race (115 km). Men’s categories 60 years and older, and women’s categories 50 years and older, can only qualify by participating in the short-distance race (70 km).
Article 7. Prices
The prices mentioned are always expressed in euros and include VAT, unless otherwise indicated.
Article 8. Payment
The Participant must always pay in advance, upon registration, the total amount of the registration (registration fee and supplements) using the online payment system provided.
Article 9. Modification of Registration
A Participant wishing to transfer their registration to another person can contact the Organizer by email (info@eislekgravelluxembourg.com) or do so on-site on the day of the event. The Participant will have to pay an administrative fee for this change.
A Participant wishing to change distance can contact the Organizer by email (info@eislekgravelluxembourg.com) or do so on-site on the day of the event. The participant will have to pay administrative fees in addition to any supplement applicable to the newly chosen distance.
It is not possible to exchange a registration for another edition of this event.
Article 10. Healthy & Safe Sport and COVID-19
The Participant confirms that they have no medical contraindications to cycling.
Participation in a sporting event requires good health and conditional preparation. The Participant declares to meet this condition. The Organizer recommends a preventive sports medicine examination with an accredited sports physician for participation in a sporting event.
The Organizer has taken the necessary health and safety measures for the event. The Participant declares to strictly comply with the measures in force, which may be adapted at any time by the Organizer depending on circumstances and applicable rules.
It is recommended that the Participant does not participate in the event in case of symptoms resembling those of COVID-19, such as flu-like illness, fever, cough, shortness of breath, runny nose, or unusual fatigue.
It is not recommended for at-risk groups to participate in the event.
COVID-19 is an extremely contagious virus that can lead to serious illness and death. An inherent risk of exposure to COVID-19 exists in any public place where people are present. Presence at the event is entirely voluntary and at the participant’s own risk, and implies acceptance of the risks associated with exposure to COVID-19 or any other infectious disease, i.e., any disease caused by an infectious and/or toxic substance that occurs through direct or indirect transmission of this substance by a person or other living or infected organism. The Organizer is not responsible in case of contamination with COVID-19 or other illness following participation or presence at the event.
Article 11. Insurance
Civil liability or accident insurance is at the participant’s initiative. The Organizer declines all responsibility in case of an accident or incident before, during, and after the event. Similarly, neither the Organizer’s employees, assistants, nor volunteers can be held responsible before, during, or after the event.
Article 12. Civil Liability
The Organizer has taken out a contract to guarantee, up to CHF 5,000,000 per claim, the Civil Liability that may fall upon the insured parties in case of bodily injury and/or material damage, including consequential immaterial damage resulting from insured bodily injury and/or material damage caused to third parties, by application of articles 1382 to 1386 of the Civil Code, due to damage caused in their capacity as Organizer of the described event.
Article 13: Bodily Injury, Individual Accident Insurance
The Organizer emphasizes the importance of taking out a personal insurance contract covering bodily injury to which participation in this event may expose them. It is up to the Participant to secure coverage for this type of damage. Licensed individuals must check with their federation that they are sufficiently covered for bodily injury incurred during their participation in this type of event. Otherwise, it is in their interest, as well as that of non-licensed individuals, to take out, at a minimum, the proposed insurance, or other guarantees with the insurer of their choice.
The Organizer cannot therefore be held responsible in case of failure to comply with this commitment and consequently in case of an incident or claim occurring to the Participant, before, during, or after the event. In the same context, the individual responsibility of all employees, assistants, and members of the organizing team cannot be engaged before, during, or after the event.
Article 14: Material Damage and Liability
Neither the Organizer nor its insurer covers damage that participants’ equipment and gear may suffer, particularly in case of a fall or theft. It is up to each individual to secure coverage against these types of risks with the insurer of their choice.
The Participant acknowledges the organizers’ non-responsibility for the supervision of personal property or items in case of theft, loss, or any damage. Items, accessories, or bicycles handed over to third parties during the event (whether members of the organization or not) will be under the sole responsibility of the depositing Participant.
In case of a claim that may engage the organizer’s liability, a declaration must be sent within 48 hours, in writing, to the Organizer by registered mail. This declaration must include the precise and detailed circumstances of the claim, as well as all supporting documents, in order to constitute a file accepted by the Insurance Companies.
Article 15. Event Cancellation – Force Majeure – Liability
General
The Organizer is only responsible for fault attributable to them, to the extent that this responsibility has not been explicitly excluded or limited in these general terms and conditions. The Organizer’s total liability is in any case limited to compensation for direct damages (excluding indirect damages) and can never exceed the value of the service provided, namely the registration fees.
Liability in case of force majeure is excluded. Force majeure means any circumstance beyond the Organizer’s control that prevents them (even temporarily) from fulfilling their obligations in whole or in part. This includes (non-exhaustively) non-delivery or late delivery or errors by suppliers or other contracted third parties, instructions, decisions, or interventions of any kind by a public, administrative, or regulatory authority (“act of Prince”), terrorism or terrorist threat, weather conditions (such as extreme heat, storm, tempest, gusts, floods, etc.), fire, riot, war or threat of war, insurrection, epidemics, pandemics (such as COVID-19), quarantine status, disruptions in a network or (telecommunications) connection or communication systems used, public disturbances, roadblocks, strikes or lockouts, demonstrations, and other disturbing disruptions.
Cases of force majeure do not entitle participants to any refund of registration fees or other form of compensation.
In the event that the Organizer cannot hold the event due to an epidemic or pandemic (such as COVID-19 and any new wave thereof) and/or urgent governmental measures (“force majeure”), registration will be automatically transferred to the new date or the next edition of the event.
In case of event cancellation by the Organizer, excluding cases of force majeure, tickets will be exchanged for tickets for a new/next edition of the event. All other costs incurred in connection with the event, such as service and administration fees and additional costs (such as merchandising, t-shirts, training program, charity, etc.), will not be refunded.
Article 16. Personal Data and Intellectual Property Rights
All data relating to the Participant is intended for the Organizer. The latter and its partners will use this information for participation in the event as well as for marketing and communication purposes. The General Data Protection Regulation 2016/679 concerning the protection of privacy with regard to the processing of personal data provides the right to access and rectify data. The Participant may at any time request the rectification of their personal data, using the contact details provided in these general terms and conditions.
By participating in the event, you agree to the possible use of your data, your photo, or your image rights in printed, cinematographic, videographic, or other form, for promotional purposes for the benefit of the organizer and its events, without claiming any compensation in this regard.
The Participant declares to know that techniques may be used to detect their precise location at any time by receiving signals emitted by the chip integrated into the proof of participation worn by the participant. The Participant authorizes the Organizer to disclose this information so that everyone can consult it.
The Participant gives the Organizer authorization to track their location in real time (live tracking) in the manner defined above, to record this data in a file, to transmit it to third parties, and to publish it on the Internet, through social media and mobile applications.
Article 17. Remarks/Complaints
Remarks must be sent through one of the channels mentioned in the introduction. The Organizer will always reasonably endeavor to process each remark received within 10 days of its receipt through one of the aforementioned channels. If unable to do so, the Organizer will inform the Participant and propose an alternative deadline.
Article 18. Special Cases
Any special case not provided for in the regulations will be decided by the Organizer and will be final.
The Organizer reserves the right to modify these regulations at any time to comply with current regulations and to ensure the interest and safety of participants.
Participation in the competition implies full and unreserved acceptance of these regulations in their entirety.
Article 19. Validity of Clauses
If one or more articles of these conditions are null or illegal, for whatever reason, this will not affect the validity of the other articles of these general terms and conditions.
Article 20. Applicable Law and Jurisdiction
These general rules may evolve, the Organizer reserving the right to make modifications depending on circumstances and the period. These regulations can be consulted and downloaded in format on the official website of the event. Any registered Participant undertakes to have read and accepted the regulations in their entirety. For their interpretation and observance, Luxembourg law and the highway code are the legal and official bases. In case of dispute concerning these general terms and conditions, only the courts of the jurisdiction of the Organizer’s registered office are competent.
